Moving files to BusinessCloud.

What is public in MediaStudio ai and private in BusinessCloud ai, how to move files across and how to publish images from your BusinessCloud.

Public here, private there

MediaStudio and BusinessCloud have different jobs. What sits in MediaStudio is there to be published: delivered fast, reachable worldwide, for anyone who knows the address. BusinessCloud is your storage — private, just for you.

A photo no page needs any more, a quote as a PDF, last summer’s photos: that belongs in BusinessCloud. There are two ways between the two, and both tell you beforehand what will happen.

The bridge is available when BusinessCloud ai is part of your account and you have opened it once.

Moving to BusinessCloud

You find “Move to BusinessCloud” as a cloud on every tile, in the large window, on every version and in the bar for several files. The files land in the “MediaStudio” folder of your BusinessCloud and are deleted here — stored there first, removed here afterwards. After that they can no longer be reached at their old address.

If a file has versions, the “Also move the … versions” tick box takes them along; it is ticked in advance. Anything still used on a page, or your brand’s logo, stays here. Files over 25 MB cannot go this way — which mostly affects videos.

In BusinessCloud every file gets the right file extension; if the name already exists there, nothing is overwritten — a number is added instead. Image description, keywords and licence record do not come along. Whatever could not move is listed afterwards under “Not everything moved”, with the reason.

Ana ticks three photos from the summer party, clicks “Move to BusinessCloud” in the bar at the bottom and then “Move”; the bar counts along, then “3 files stored in BusinessCloud.” appears, and in BusinessCloud they sit in the “MediaStudio” folder.
  1. Click the “Move to BusinessCloud” cloud on the tile.
  2. Read the dialogue and leave “Also move the … versions” ticked if the stack should go too.
  3. Click “Move”. The notice “… files stored in BusinessCloud.” confirms it.

Publishing from BusinessCloud

Under “Find images”, choose the source “BusinessCloud” instead of “Pexels · Pixabay”. You then browse the folders of your BusinessCloud — the line above shows where you are — and tick images. JPEG, PNG, WebP and GIF up to 25 MB can be added; PDF documents are listed greyed out with “images up to 25 MB only”.

“Add … to MediaStudio” first asks “Make public?”: the images are copied and can then be reached by anyone who knows their address. Only “Yes, publish” adds them. In your BusinessCloud everything stays as it is.

The added images are checked and cleaned like any upload and carry the “BusinessCloud” label. You are their rights holder.

Under “Find images” Ana chooses the source “BusinessCloud”, opens the folder “Photos 2026”, ticks two images from the autumn market, clicks “Add 2 to MediaStudio” and confirms “Make public?” with “Yes, publish”; both tiles carry the “BusinessCloud” label.
  1. Click “Find images” at the top and choose “BusinessCloud”.
  2. Open the folder with your images and tick the ones you want.
  3. Click “Add … to MediaStudio” and confirm with “Yes, publish”.

When the connection is missing

Before files move, MediaStudio checks whether the way to your BusinessCloud is clear. If it is not, the reason appears in the dialogue and “Move” stays greyed out. Nothing is deleted unless it has arrived in BusinessCloud.

“Open BusinessCloud once — then it knows your account.” means just that: your BusinessCloud creates your account the first time you open it. The link next to it takes you there; afterwards you open the dialogue in MediaStudio again.

“BusinessCloud is not responding right now.” usually passes after a short while; “Try again” asks again. If it says that BusinessCloud ai is not booked, the tool is not part of your plan.
