Uploading files and creating folders
“Files” holds everything you store. New things come in through the “New” button at the top left: “Upload files” brings in files from your device, “Upload folders” a whole folder with its contents. You can also simply drag files from a folder window into the list.
“New folder” in the same menu creates a folder. The path bar above the list shows where you are; clicking a folder in it takes you back there.
- Open “Files” in BusinessCloud.
- Click “New” and choose “New folder”.
- Enter a name under “Folder name”, for example “Suppliers”, and click “Create”.
- Open the new folder, click “New” again and choose “Upload files”.
Renaming, moving, favourites
Every file and folder has the three dots, “Actions”, on the right. Among other things they offer “Rename”, “Move or copy”, “Download”, “Details” and — depending on the entry — “Delete file” or “Delete folder”. Tick several entries and an action applies to all of them at once.
Adding an entry to your favourites gives it a star; you then find it among the favourites on the left. “Recent” shows what was changed last. Your files are shown as a list; above it on the right you switch to tiles and back again, and BusinessCloud remembers your choice.
- Click the three dots next to the file and choose “Move or copy”.
- Select the target folder, for example “Suppliers”.
- Click “Move to Suppliers” or “Copy to Suppliers”.
Bringing back earlier versions
When you change a file or upload a new one with the same name, BusinessCloud keeps the previous version. The same goes for documents you edit in Office. You find the versions in the file’s sidebar under “Versions”, with date and time.
“Restore version” makes an older version the current one again; the one you had isn’t lost but becomes a version itself. From a version’s menu you can also download it or give it a name with “Name this version”, so you can recognise an important state later.
- Click the three dots next to the file and choose “Details”.
- Switch to the “Versions” tab.
- Open the menu of the version you want and choose “Restore version”.
Bringing back deleted items
What you delete isn’t gone straight away. It sits on the left under “Deleted files”, with its original location and the time it was deleted. A folder comes back from there with everything in it.
“Restore” puts the file or folder back where it was. “Delete permanently” removes an entry for good — this can’t be undone.
- Click “Deleted files” on the left.
- In the file’s row, click “Restore”.
Photos and videos under “Media”
“Media” in BusinessCloud (with some English settings: “Photos”) shows every image and video in your files as a timeline, newest first — whichever folder they are in. On the left, “Photos” or “Videos” narrows it down; “All media” shows both again.
Under “Albums” you put images together without moving them: an album points to the files, which stay in their folders. That way the same photo can appear in several albums.
- Open “Media” in BusinessCloud.
- Choose “Albums” on the left and click “New album”.
- Enter a name under “Name of the album”, for example “Autumn menu”, and click “Create album”.
- Click “Add photos to this album”, select the images and click “Add to Autumn menu”.
Images for your website belong in MediaStudio ai: that is where they get a public address. BusinessCloud is your private storage.
Storage space and folders from other tools
At the bottom left of “Files” you see how much storage you are using. How much storage comes with your plan is shown on the pricing page.
Some folders are created for you by other KENJTEC tools. Invoice files every issued invoice and quote as a PDF under “Accounting”, sorted by type and year — more under Documents in your files. What you move out of MediaStudio ai with Move to BusinessCloud lands in the folder “MediaStudio”. And your brand’s letterhead is in the “Templates” folder.
These files are yours like any others: you can rename them, move them or share them by link. The other way round, MediaStudio can take images from your BusinessCloud when you want to publish them — this works once you have opened BusinessCloud at least once; how is explained under Publishing from BusinessCloud.
