Inviting and managing your team.

Inviting your team to BusinessCloud ai, assigning roles and storage, letting someone go — and why your company stays to itself.

Inviting people to your company

Your team works in your BusinessCloud with their own KENJTEC accounts — with the same customers, projects, expenses and documents. You invite people in the dashboard under “Company and team”. That is also where you give the company its name, under “Company name” — only your own team sees it.

Seats and storage come with your plan. Under “Seats and storage” you see how many seats are taken (one of them is yours), how much storage your plan has in total and how much is still to assign. Each person gets their share; the rest stays with you. If your plan has only one seat, it says so there, and “Choose a plan” takes you to the plans.

Every invitation carries a role. A “Team member” works with customers, projects, expenses and document drafts; “Administration” also issues documents and brings people in. Only you, as the owner, decide who belongs to administration.

Once it is sent, the dashboard shows the invitation link — if the email doesn’t arrive, pass the link on yourself with “Copy link”. Until someone accepts, the invitation takes up a seat; under “Open invitations” you take it back with “Withdraw”.

  1. Open your dashboard and choose “Company and team”.
  2. Under “Invite people”, enter the “Email address” and choose the “Role” and “Storage (GB)”.
  3. Click “Send invitation”.

An invitation is valid for seven days and only for the address it was sent to — sharing an email domain doesn’t make anyone a member of your company.

Accepting an invitation

If someone has invited you, you receive an email with a link. It leads to a page that shows who is inviting you to which company, with which role and until when the invitation is valid. You don’t need a card for this — your seat is already paid for.

You can only accept with exactly the address the invitation was sent to. If you don’t have a KENJTEC account yet, create one with “Create account” and confirm the code from the email; afterwards you return to the invitation. An account with its own plan has its own office — to work in a company, use a second account. And you only ever work in one company at a time.

In the company’s BusinessCloud there is a shared folder with the company’s name. Whatever anyone puts in it, everyone in the company sees, and it stays there even if that person leaves later. You can share directly with everyone in the company.

  1. Open the link in the invitation email.
  2. If you aren’t signed in, click “Sign in” — or “Create account” if you don’t have an account yet.
  3. Click “Accept invitation”.
  4. Click “Open BusinessCloud”.

Changing storage and letting someone go

Under “In your company” you see everyone who works with you, with their role and the day they joined. There you change a person’s storage — and, as the owner, their role — and confirm with “Save”. Administration changes the storage of team members; only the owner assigns roles.

When someone leaves, you remove them from the company and choose who takes over what they own in BusinessCloud — yourself or someone who stays. Files, boards, lists, polls and teams are handed over, never as a copy; calendars, contacts and appointment bookings stay with the person. Afterwards, “Handovers” shows what arrived in each area.

With the role “Team member” you can also leave yourself: under “Company and team” with “Leave company” and “Yes, leave company”. Your KENJTEC account stays; what you created in the company stays with the company, and what you own in BusinessCloud goes to the owner.

If you switch to a plan with fewer seats, nobody loses their membership. But only as many people as there are seats get into BusinessCloud — those who joined first; the others appear in the list marked “no seat”. Without a plan that includes BusinessCloud, nobody gets into the company; nothing is lost.

  1. Under “In your company”, click “Remove from company” next to the person.
  2. Choose who receives what they own in BusinessCloud.
  3. Click “Yes, remove from company”.

Your company stays to itself

Many companies work in BusinessCloud, and none of them sees the others. Wherever you look for people — when sharing files and calendars, in teams, in Knowledge, Lists and Polls — you only find people from your company, and only with them do you share directly. The other way round, nobody from another company finds you, your colleagues or your teams.

If you work on your own, your company is just you: you can’t share directly with anyone. To pass on files and folders outside, use a share link — with or without a company.

Names of teams and knowledge bases apply across the whole of BusinessCloud. If you’re told a name is already taken although you can’t see it anywhere in your company, a team in another company has it. Choose a different name then, for example with your company’s name in front.
