Knowledge: your company’s handbook
In “Knowledge” (with some English settings this entry reads “Collectives”) you write down together what everyone in the company needs — opening hours, recipes, how a shift runs. A knowledge base consists of pages and subpages and belongs to a team: whoever is in the team finds it in “Knowledge”.
You create a new one with “New collective”. Give it a name under “Name of the collective”, click “Add members”, choose people or teams from your company and click “Create” — if you choose nobody, the button reads “Create without members”. A new page is added with the plus above the page list (“Add a page”).
Whatever is in a knowledge base counts towards the storage of the person who owns the team. A knowledge base is deleted in “Knowledge” itself, where it goes to the trash first. That is why the last member can’t simply leave a team that holds a knowledge base.
Lists: tables for the company
In “Lists” (with some English settings: “Tables”) you keep everything that fits into rows and columns: suppliers and their order days, the stocktake, requests from groups. You create a new table with “Create table”, the plus next to “Lists” (or “Tables”, depending on your English settings) — empty or from a file you import.
You can share a table with people and teams from your company, or with the whole company; the search never suggests anyone else. You also only hand over ownership of a table to someone in your company, and columns for people only offer people from your company.
Polls: deciding together
In “Polls” you ask about anything that concerns everyone — a date for the team meeting or the cake of the week. “New poll” creates one: enter a title, under “Poll type” choose “Date poll” for dates or “Text poll” for anything else, and click “Add”. Then you enter the options people vote on.
Whom you ask is set in the poll’s sidebar under “Sharing” — a poll only goes to people and teams in your company. A poll here is never open to everyone and has no link for outsiders.
If the plan ends, your polls are put on hold and send no more reminders; nothing is deleted. With a new plan they carry on.
